Secretary – Employment and Insolvency – Bristol
Our busy Insolvency and Employment teams are looking for a talented secretary to work across the 2 teams (4 days in Insolvency, 1 day in Employment), providing proactive and professional secretarial support.

Based from our friendly, open-plan offices, this role will give you the opportunity to work within two of our busy teams, (one day in Employment, four days in Insolvency) providing support to the lawyers and paralegals in the team, keeping them organised and enabling them to work as efficiently as possible.
Your regular duties will include: sorting, screening, scanning and prioritising incoming and outgoing post, opening, closing and archiving client files, document production (including some audio typing by Digital Dictation) copy typing, emails, memos, creating and updating of Excel spread sheets, assisting with compiling articles, setting up file reviews, and filing. You will ensure documents and records are stored appropriately, including ensuring filing and e-filing is up to date and accessible. Attention to detail is key and you must be able to prioritise and communicate effectively.
You will also be required to assist your fee-earners with the billing process, agreeing in advance dates for billing, requesting pre-bills and drafting standard cover letters for the fee-earners to authorise and sign-off.
You will often be the first point of contact for new and existing clients and have regular communication with them (taking messages, arranging meetings etc.), so should demonstrate professionalism, diplomacy and sensitivity in all your communications.
You will also carry out other administrative / secretarial activities as required, including helping other administrators and secretaries during busy periods and to cover colleagues’ absences from work.
It is an integral part of this role that you comply with information security and all firm policies and procedures.
Previous experience of working within a legal environment would be beneficial, however if you have at least 12 months’ experience of working within a busy PA or administrative role, are a quick learner, very IT literate and have a genuine interest in working within the legal sector, we would be keen to hear from you.
This role will be well suited to you if you like to prioritise your own workload, work closely to deadlines, and can work with minimum supervision and under pressure. You will need to demonstrate from experience that you are exceptionally organised and pro-active, that you have a flexible ‘can-do’ attitude, and that you have the skills to work closely with various stakeholders and have direct contact with clients.
Due to the nature of this role being across a number of teams, you will be someone who is flexible, adaptable and likes variety. You will be someone who takes pride in being able to build good relationships with colleagues across different teams, and clients of different disciplines, providing a first class support service, anticipating our lawyers’ and clients’ needs in advance wherever possible. You will be someone who likes to provide an excellent level of customer service and pay meticulous attention to detail in your work, understanding that different lawyers and teams may like things done in different ways, and be able to easily adapt to their requirements as appropriate.
You will have excellent spelling and grammar and, ideally, experience of audio typing. You will be comfortable with learning new databases and other software packages, and consider yourself proficient with the usual Microsoft packages, including Excel and PowerPoint.
You should be able to demonstrate a solid level of academic achievement, with a minimum of 6 GCSE passes at grade C or above (or equivalent), including English and Maths.
