Legal Secretary – Commercial Property and Insolvency – London
Our busy Commercial Property and Insolvency teams are looking for a talented secretary to work across the 2 teams, providing proactive and professional secretarial support to 3 Partners, 4 lawyers and a Paralegal.
Role: Legal Secretary
Hours: Full time
Vacancy Reference: 429-SLN
Based from our friendly, modern and open-plan offices, this role will give you the opportunity to work within two of our busy teams, (Commercial Property and Insolvency) providing day-to-day secretarial support to our Partners and lawyers, keeping them organised and enabling them to work as efficiently as possible.
We are looking for someone who has previously worked as a Legal Secretary, and owing to the technical nature of some of the Property related work, some of this experience must have been within Commercial Property/Real Estate. Your regular duties will include putting engrossments together, undertaking land registry searches and associated administration, dealing with post-completion matters, including SDLT (stamp duty land tax) returns and land registry submissions.
You will need to be a quick and accurate typist, as audio typing (via digital dictation) is a key aspect of this role. You will be responsible for document production – copy typing, letters, emails, memos, creating and updating of Excel spread sheets, assisting with compiling articles and setting up file reviews. You will ensure documents and records are stored appropriately, including ensuring filing and e-filing is up to date and accessible.
You will be supporting three Partners, so will be required to assist them with diary management, travel bookings and any other general secretarial/administration assistance they require.
You will also be required to assist with the billing process, agreeing in advance dates for billing, requesting pre-bills and drafting standard cover letters for the fee-earners to authorise and sign-off.
You will often be the first point of contact for new and existing clients and have regular communication with them (taking messages, arranging meetings etc.), so should demonstrate professionalism, diplomacy and sensitivity in all your communications.
You will be expected to assist the fee earners in meeting their regulatory requirements and firm accreditations, so it is an integral part of this role that you comply with information security and all firm policies and procedures.
Previous experience of working as a Legal Secretary, specifically within Property/Real Estate is essential for this role.
This role will be well suited to you if you like to prioritise your own workload, work closely to deadlines, and can work with minimum supervision and under pressure. You will need to demonstrate from experience that you are exceptionally organised and pro-active, that you have a flexible ‘can-do’ attitude, and that you are a team player, with the skills to work closely with various stakeholders and have direct contact with clients.
Due to the nature of this role being across two teams and working for a number of people, you will be someone who is flexible, adaptable and likes variety. You take pride in being able to build good relationships with colleagues across different teams, and clients of different disciplines, providing a first class support service, and anticipating our lawyers’ and clients’ needs in advance wherever possible. You like to provide an excellent level of customer service and pay meticulous attention to detail in your work, understanding that different lawyers and teams may like things done in different ways, so being able to easily adapt to their requirements as appropriate.
You will have excellent spelling and grammar and a quick and accurate typist, preferably with experience of audio typing/digital dictation. You will be comfortable with learning new databases and other software packages, and proficient with the usual Microsoft packages, including Excel and PowerPoint.
Finally, we are looking for someone who can demonstrate initiative and problem-solving skills and a willingness to learn and develop, which will help you thrive in this role.
