This is a newly created role which will evolve over the next 12 months. The firm currently has a decentralised billing approach, however there is a need to produce some bills centrally for a few teams to support their WIP management. A larger project is currently underway to replace the firms Practice Management System from Elite Enterprise to 3E. Once 3E is in place, the firm will undertake more central billing and a team will need to be created. During the implementation stage of the 3E project there will be a need to support with testing to ensure system readiness and to create a billing team.
The position will report to the Financial Operations Manager and will provide an individual with a golden opportunity to assist with a system implementation and to create and manage a Billing team.

The role
The Billing Manager’s responsibilities include but are not limited to:
- Assist with the implementation of the firms new billing system
- Overall responsibility for the Billing Team and specific areas of the business revenue lifecycle
- Ensure compliance of all processes and systems in the billing lifecycle
- Review WIP reporting with agreed teams to assist in appropriate/timely bill generation (revenue control)
- Ensure compliance of all regulatory requirements during the billing process, including VAT and the Solicitor’s Accounts Rules
- Training and developing billing staff, carrying out their appraisals and oversee the recruitment process
- Develop Billing Assistants to create and maintain a high-quality service
- Proactively assess the billing team’s procedures, on a continual basis, to identify and implement “best practices” for improving internal processes, to maximize productivity and increase quality of work
- Ensure workloads of the billing staff are properly balanced and weighted
- Manage existing and future e-billing
Billing responsibilities:
- Prepare and distribute pre-bills, prepare final bills and dispatch
- Execute complex bills in a timely manner
- Ensure completion of high volume of bills per month
- Review and verify accuracy of billing and supporting documentation
- Conform to the firm’s accounting, billing and collection policies and controls and hereby ensure integrity of the firm’s financial and operating information
- Research and respond to inquiries regarding billing issues and problems
- Coordinate, monitor and process retainer funds, approved markdowns, write-offs and necessary account adjustments
- Coordinate ad hoc projects at the request of clients, partners, and firm management
- Prepare various reports and analyses, as requested
- Assist partners and staff with time and billing
- Assist partners and staff in understanding billing processes, policies and procedures
- Assist with special projects and analysis as directed
All roles within the Finance department carry a responsibility for information security and you will need to evidence your understanding of this. You will be required to comply with the Solicitors Accounts Rules as well as the firm’s information security policy and all other firm wide policies and procedures. You will be expected to demonstrate expertise, understanding and compliance with the team’s Finance processes and standard operating procedures relating to information security and data protection and take responsibility for ensuring that all other members of the Finance team do the same, escalating any issues should they arise.
About you
You will have:
- A minimum of five years of experience in a billing capacity within the legal industry
- Used Elite 3E
- The ability to work in a fast-paced environment
- Excellent customer service acumen
- The ability to work independently, taking initiative to move projects to conclusion
- High levels of attention to detail
- Excellent organisational skills and the ability to handle multiple priorities and to prioritise assignments
- High level of proficiency with technology including Microsoft Office Suite applications
- The ability to evaluate problems and formulate successful solutions
