The Administration Team Leader’s primary function is to assist the Facilities Services Manager to provide consistently high quality facilities management and business support services for the fee earners whilst maintaining the highest level of customer service to all stakeholders.

This leadership role will involve maintaining a productive workflow while implementing an atmosphere that fosters personal and professional growth. You will oversee the office’s reprographics and printing service’s ensuring all requested jobs are delivered within the agreed time frame and to the highest standard. You will assist the Facilities Services Manager in advancing the level of customer service by demonstrating a positive and professional approach to all areas of the role.
You will coach and assist in the development of the staff by helping employees look for opportunities to develop and succeed in their job. The Administration Team Leader is required to motivate, advise, give feedback, be supportive and provide strategic direction.
You will be assisting the Facilities Services Manager with the compilation of monthly reporting, processing of invoices and managing the consumable spend in line with budgets and agreed stock control procedures.
Overseeing the day to day running of the Facilities Office in line with agreed service levels and ensuring the Facilities Services Manager is kept updated via verbal and written reports.
Supporting the Facilities Services Manager in the recruitment and induction of team members will be key, and participate in training of new staff and with the continued development of current Facilities Services staff.
Monitoring and supervising staff to ensure compliance with agreed procedures i.e. operational processes, quality control procedures, conduct, attire, performance and attendance.
You will be required to ensure equipment is properly maintained and utilised and assist the Facilities Services Manager in monitoring and updating the site’s Planned Preventative Maintenance schedule.
You must be aware of and responsible for the day to day health and safety requirements for your team and working area and actively participate in all on site health and safety audits, inductions and assessments.
From time to time there may be other reasonable requests/tasks issued by your line manager which are to be adhered to.
This is a hands-on operational role and will involve working alongside the team to deliver the overall service as well as covering absence in the team from time to time.
It is an integral part of this role that you comply with information security and all firm policies and procedures.
You should be proactive and flexible in working both individually and as part of a team, with minimal supervision, and be able to prioritise a number of different projects effectively.
Communication will be one of your strong points, both written and oral, and you will be enthusiastic about delivering excellent quality service to your clients.
Customer focused is key for the role, with experience in staff supervision in a customer or business service environment is essential.
You will be self-motivated, with the ability to lead by example, with a professional manner, and be proficient with the standard Microsoft packages, including Excel and Powerpoint and be comfortable with learning new databases and other software packages.
Attention to detail, and ability to retain high levels of concentration in a busy environment is key for the role.
